Artopia can lead to all sorts of opportunities - so make the most of it! Consider what needs to be done before and during your event to ensure you and your venue are ready on time and present well. Here are some simple tips.
  • First thing - Register! Closing date is the 1 June 2007


  • Create a timeline, checklist and a budget

  • Outline major dates, deadlines (including media) and weekly goals. If collaborating with other artists make sure you clearly define roles - it is imperative that each artist clearly understands their responsibilities separate from providing their artwork.

  • Use the Artsource Toolkits - available free of charge online:

  • Marketing yourself

    • In addition to the Artopia guides, posters and signage you will receive, you may want to make your own invitations, flyers or posters for distribution to your community.
    • Use the Artopia logo to signify your participation - [download - Artopia logo]
    • If you don't already have one - prepare a business card or A4 sheet with brief information and images that visitors can take away, they may wish to contact you later!
    • Design your promotional material in ways that allow leftovers to be used afterwards.
    • Put together a folder about you and your art practice that visitors can browse through; include your CV and media articles
    • Put out a visitors book during your event to collect new contacts

  • Invite

    • your local MP or councillor to open your show (they’ll need plenty of notice)
    • invite the local paper to cover the story (nearer the time)
    • people who have previously bought or expressed interest in your work, family and friends
    • consider inviting other arts industry folks, potential sponsors, art school lecturers and students, writers, gallery directors and curators. Artsource can provide mailing list labels for certain contact lists for a modest fee. Call Lizzie on 9335 8366.

  • Choosing your work

    • COHESION Is there a theme? Do the works look good together?
    • CURRENCY When was the work made? Has it been shown before?
    • QUALITY How will it look in five years time? (particularly important if you plan to sell your work)

  • Displaying your work

    • Draw up the layout - test it and get a second opinion
    • Make a price list and price labels. Also label your work with your name, contact details, artwork title and medium.
    • Make photographic records of your work.
    • Plan to document your event through the process so that you can evaluate what worked and what could be improved on next time.

  • Budget

    Depending on the scale of your event, your Artopia participation may cost anything from simply the registration fee to a few thousand dollars. Consider the following:
    • Hidden costs which are often overlooked are envelopes and postage, graphic design, equipment hire and photo documentation costs.
    • Find out if you can apply for local government funding.
    • If working with a gallery or business check with them first - they may have existing contracts or agreements with caterers and printers which will save you time and money.
    • artsource members can receive discounts on framing, advertising, printing and photography from businesses listed on the artsource directory.
